The switch to SAP Business One brought Topmedia more overview, faster processes and better inventory control. The company wanted to say goodbye to an outdated system and chose Logres as its implementation partner. Despite some challenges, the transition was successful, and Topmedia can now work and grow more effectively.
Topmedia is a wholesale distributor of computer parts such as screens, keyboards, batteries and adapters.
Since its founding 25 years ago, the company has continued to develop: in addition to computer accessories, Topmedia now supplies energy products, such as solar panels and heat pumps.
With a 4,500 m² warehouse in Amersfoort and an office in China, the company serves customers throughout Europe, ranging from small stores to large wholesalers.
Henri van Dijk has been working at Topmedia for twelve years and plays a multifaceted role within the company. “I’m basically a jack-of-all-trades,” he says. “I handle sales, technical support, and everything related to our website and SAP Business One. I try to resolve issues internally first, and if that doesn’t work, I call on Logres.”
From obsolete to future-proof
For years, Topmedia worked with Magento 1, a custom ERP package that had been continuously expanded over time.
Although the system functioned well, its maintenance posed significant challenges. Updates could render certain modules unusable, putting pressure on business operations.
“The system did what it was supposed to do, but with every update, we had to start tinkering with it all over again,” says Henri. “We needed a more stable and flexible solution.” SAP Business One turned out to be the best choice.
Why SAP Business One?
SAP Business One offers an integrated solution for inventory management, purchasing, sales, and invoicing. A key improvement was gaining greater insight into inventory, which allowed purchasing processes to be organized more effectively.
At the same time, the online store was revamped and integrated with SAP. “We’re doing more and more online, but some customers still prefer to order by phone or email. With SAP, we now have a much better overview of our inventory and customer prices,” Henri explains. Logres guided the entire process, from the initial setup to the go-live.
Implementation and Challenges
The transition to SAP Business One required thorough preparation. Logres played a key role in this process by supporting Topmedia with the setup and data migration.
Implementation began in 2020, and the system went live in September 2021. The online store was launched at the same time. This proved to be an intensive process involving close collaboration with Logres.
“Migrating our data to SAP was a lot of work, but we were able to set everything up exactly the way we wanted,” says Henri. “Logres really helped us with that.”
Benefits of SAP Business One
Thanks to the switch to SAP Business One, Topmedia now operates faster and more efficiently. The system provides better insight into inventory levels and helps accurately forecast purchasing needs. This prevents unnecessary inventory costs and ensures that products are always available on time.
In addition, customer-specific prices can be easily managed, which is important for Topmedia's various customer groups. "Inventory management has really improved a lot," says Henri. "SAP Business One keeps track of how much we need for us, and that makes a huge difference."
Collaboration with Logres
The cooperation with Logres continued to grow over the years. During the implementation process, there was close collaboration with the business consultant. After going live, contact was even more closely aligned with the introduction of a customer success manager at Logres.
"Because we have a regular contact person, everything runs even more smoothly," says Henri. "The contact is low-threshold and the people at Logres actively think along with us. That's pleasant to work with."
Future plans
An important update of SAP Business One is planned in the coming period, so that Topmedia can work even more efficiently. In addition, a move to Magento 2 as the new web shop solution is underway.
"Our current webshop is running into some limitations," Henri explains. "That's why we are switching to Magento 2, and of course SAP has to go along with that."
Further optimization of the WMS system also remains a spearhead, so that the logistics processes are even better aligned with daily practice. Thanks to these steps, Topmedia remains ready for the coming years and can continue to develop in an ever-changing market.
