How do you choose an ERP system?

Are you ready for a (new) ERP system? Then you want to make the right choice. But: how do you ensure that you choose the ERP system that suits you best? We list the logical steps for you.

Are you just getting started with the selection process? Then be sure to read our article on ERP selection, in which we explain how to approach the ERP process in a structured way and choose the right solution for your organization.

  1. Research your own business processes
Before you start comparing specific packages, it is wise to first map out how your business processes are running. What is already running smoothly and what could be improved? What future plans for your company should you take into account when choosing an ERP package?
  2. Draw up a Program of Requirements (PVE)
If you know how your business processes run now, it is good to list a number of requirements that your new ERP package must meet anyway. In addition to the hard requirements, there is also a list of nice-to-have's. In other words: the wishes. What functionalities would you like to have in your ERP system, in addition to the functionalities that you definitely need?
  3. Research vendors.
What ERP packages are available on the market? Using your PVE, you can quickly narrow down your options to ERP packages that are likely to meet your requirements and incorporate as many of your preferences as possible.ERP comparison sites can help you get started, but be careful! Even so-called independent comparison sites often receive sponsorship for the advice they provide. So never rely 100% on their advice, and always do your own comparison as well.

Have you selected a few vendors? Send them the list of requirements and preferences from your PVE and ask them to assess whether they can meet these criteria and to send you a written report on their findings.
  4. Introductory Meeting
While a rational assessment is important, there’s also always that “click.” After all, you’re not just choosing an ERP package—you’re also choosing an ERP partner. When an ERP vendor can meet the requirements you’ve set, now is the time to simply get to know them, with no obligation. Often, a single meeting can reveal a lot about the partner you want to do business with.
  5. Prepare business case or feasibility study
If all goes well, there are still a few ERP packages in the race after step 3. You can reduce this number by preparing a business case and submitting it to the shortlist of ERP vendors. Describe a primary and a secondary process from your company and ask them to explain to you what it will look like in their ERP package.
  6. Demonstration / Proof of Concept
Based on the business case, potential vendors will give a demonstration. Attend this demonstration with at least three of your employees: the ERP project leader (yourself), someone in a management position and a user who deals with the primary process on a daily basis.
  7. Decision in Principle
Based on all the previous steps, the stakeholders in your organization make a decision in principle about the package you want to implement.

Need help?

Logres has been an ERP vendor since 1993 and knows the process described above inside out. If you are considering one of our packages, we are happy to help you select the right business case for a Proof-of-concept.

We can also perform the examination of your own business processes for you. We call this the Business Blueprint.

No is also an answer

At Logres, we like to be clear about what we are good at and not good at. As an ERP vendor, we primarily serve SME wholesalers, manufacturers and service companies. We have less experience with other types of companies.

Because we have been implementing ERP packages for years, we know exactly what our packages are and are not capable of. Can't we meet your PVE? Then we'd rather say no...
