Machine wholesalers often work with a broad and complex article database. You sell complete machines, spare parts, components, accessories and sometimes service contracts.

Some items are standard stock items, others are unique, expensive or service sensitive. Especially with the latter group, serial numbering plays an important role.

When a customer calls about a specific machine or part, you want to know right away: what serial number was delivered, when was it sold, which customer is it with and what history goes with it?

This is why many machine wholesalers quickly think they need customization or an industry-specific ERP package. But SAP Business One can support serial numbering very well. Not as a separate registration afterwards, but as part of inventory management, purchasing, sales, logistics and traceability.

Why serial numbers are important

With machines and technical parts, inventory management is not just about numbers. Two machines with the same part number can differ in practice. Consider year of manufacture, configuration, supplier, warranty period, customer location or maintenance history.

A good ERP system must therefore be able to do more than "item X is in stock 5 times". You want to record which serial number belongs to each individual machine or component. That way you not only know how much stock you have, but also which specific ones are in stock.

That helps with delivery, warranty, service questions, inventory control, certificates, claims towards suppliers and customer communication about specific machines or components. This fits well with the practice of machine wholesalers.

How does serial numbering work in SAP Business One?

In SAP Business One, you can determine for each item whether the item should be managed by serial numbers. This is done in the item master data. There you choose whether an item is managed by serial numbers, batches or non-serial inventory management.

This is practical because not every item needs to be serial numbered. For standard bolts, filters or simple stock items, serial number registration is often not necessary. For machines, motors, control boxes, expensive modules or service-sensitive components, however, you do want to enforce this registration.

SAP Business One thus gives machine wholesalers flexibility: you deploy serial number management only where it adds value.

Capture at the right time

One advantage of SAP Business One is that serial numbering can be linked to inventory transactions. Serial numbers can be assigned with each inventory transaction, or only when issued. In SAP Business One, this is called the management method: "on every transaction" or "on release only."

Some machine wholesalers want to record a serial number as soon as a machine arrives. Then it is known from receipt which copy is in stock. Other companies primarily want to enforce registration upon delivery to the customer.

Both approaches can make sense. The earlier you register, the stronger your grip on individual inventory. The later you register, the lighter the process remains on the front end. SAP Business One offers a choice in this.

Less error-prone than separate lists

Serial numbering only becomes valuable when employees work with it consistently. This often goes wrong in separate systems: one serial number is on a packing slip, another number in Excel and the service department has its own overview again.

In SAP Business One, serial number selection becomes part of the transaction. The Serial Number Selection window allows serial numbers to be selected or updated on documents before the stock transaction is finally booked.

This makes serial numbering not an administrative sideshow, but a built-in step in the process. Upon receipt, delivery or stock movement, the serial number is linked to the correct item and document.

Traceability from purchase to customer

For machine wholesalers, traceability is often a commercial as well as an operational necessity.

Suppose a supplier reports that a certain batch of parts needs to be checked. Then you want to know quickly which ones you have received, which are still in stock and which have been delivered to customers.

SAP Business One therefore includes reports for batches and serial numbers. You can also use a forward trace report based on batch and serial numbers to look through to production and customers.

For a machine wholesaler, this means that serial number history does not have to be manually pieced together from purchase orders, deliveries and invoices. The information is linked to the documents in the ERP system.

Unique serial numbers and CompuTec supplements

Serial numbers are only useful if they are reliable and unambiguous. Duplicate serial numbers cause confusion, especially when the same supplier supplies similar machines or parts. For example, you can use Batch and Serial Templates to define standard formats for generating unique batch or serial numbers when receiving purchase orders and production orders. For example, such a template can contain date, time, item number or prefix.

This is useful when you not only want to record supplier numbers, but also want to apply your own number structures. No customization required for the basics

Serial numbering is not an exceptional requirement for which a machine wholesaler needs automatic customization. SAP Business One supports serial number management at the item level, links serial numbers to inventory transactions, provides selection windows for processing, and includes tracking reports for batches and serial numbers.

Of course, setup remains important. You need to determine which items are serial numbered, when serial numbers are recorded, how uniqueness is secured and what reports employees need. But those are implementation choices within an ERP solution designed for this purpose.
