Cloud ERP vs. On-Premise ERP: Which Is Better for Your Business?

Cloud ERP vs. On-Premises ERP

Will you choose cloud-based ERP or on-premise ERP?

Cloud ERP is the best choice for most small and medium-sized businesses when they want minimal technical maintenance, the ability to work from multiple locations, and the flexibility to scale easily. On-premise ERP is a better fit for organizations that want to manage their software and data on their own servers or have specific requirements for their IT infrastructure.

The functionality of the ERP system doesn’t have to differ between the two options. With SAP Business One, you can choose either a cloud environment or an installation on your own server. Which option is best for you depends mainly on security, management, costs, flexibility, and the way your employees work.

What’s the difference between cloud and on-premise?

With a cloud ERP system, the software runs in a data center, and you connect to the application via the internet. The technical infrastructure is managed by the hosting provider, so you don’t have to maintain any servers yourself.

With on-premise ERP, SAP Business One is installed on your organization’s own servers. This gives you full control over the IT environment, but you’re also responsible for managing, maintaining, and securing the infrastructure.

Both options offer the same functionality within SAP Business One. The main difference lies in how the software is hosted and managed.

When is a cloud ERP solution the right choice?

More and more organizations are opting for a cloud environment. Employees can work from different locations, there’s no need to manage hardware in-house, and scaling up is often easier.

A cloud environment is a good option if, for example, you:

  • you have employees at multiple locations;
  • whether you want to work from home or on the go;
  • You want to outsource as much IT management as possible;
  • want to be able to scale up easily;
  • don't want to maintain your own server environment.

For many small and medium-sized businesses, this means less administrative work and a predictable IT environment.

When is on-premise a better choice?

Despite the growth of cloud ERP, some organizations still deliberately choose to use their own server environment. This may be because they have specific security requirements, work with business-critical integrations, or want to maintain full control over the infrastructure.

An on-premise environment may be a good fit if your organization already has its own IT department or if internal policies require that data remain within your own environment.

Even companies with a lot of customization or extensive integrations sometimes deliberately opt for an on-premise setup.

What about security?

A common question is which solution is more secure. In practice, this depends less on whether you choose cloud or on-premise and more on how the environment is managed.

A professionally managed cloud environment often features comprehensive security measures, automatic backups, monitoring, and redundancy. With an on-premise installation, this responsibility lies entirely with the organization itself.

Which option is best therefore depends on your available knowledge, capacity, and internal IT processes.

Can you switch later?

Yes. Organizations often start with an on-premises installation and later switch to the cloud. The reverse also occurs, for example, when business processes change or new requirements are placed on the IT infrastructure.

Since the functionality of SAP Business One remains the same, a change in hosting doesn’t automatically mean that ERP processes need to be redesigned.

Which option is right for your organization?

There is no one-size-fits-all answer to the question of whether cloud ERP is better than on-premise ERP. The right choice depends on how your organization operates, what security requirements apply, and how much management you want to handle yourself.

Logres helps organizations make this decision. In doing so, we look not only at the technology, but above all at business processes, future growth, and the desired flexibility.
