Six best practices for international trade with SAP Business One
Buying and selling internationally requires overview and structure. Your stock is spread across different locations, each country has its own rules and exchange rates, and shipments must always be traceable. For many of our customers, this is a daily reality.
At Logres, we see every day how SAP Business One makes a difference. With a smart setup and clear agreements, our clients gain speed, grip and reliability. These are the themes that our customers say deliver the most:
1. Get a real-time grip on your inventory
As a wholesaler, you want to know what's in stock, what's in transit, and where delays are occurring. SAP Business One provides that insight, even if you work with multiple warehouses or 3PL locations.
By digitizing warehouse processes, for example through barcode scanning or a WMS link, physical inventory and administration are finally in sync. That means fewer errors and more pace.
Our customers recommend working with cycle counts: small, frequent counts rather than large semi-annual corrections. Deviations are corrected directly in B1, making structural differences visible and alternative items quickly set up. As a result, sales always continue.
Do you work with minimum and maximum levels? Then combine them with batch or serial numbers. That strengthens traceability and your quality control.
2. Always compliant in international trade
Doing business internationally means keeping a grip on VAT, customs, origin, Intrastat and different accounting standards. SAP Business One fully supports that with multiple languages, currencies and country versions.
Automating VAT and Intrastat processes prevents manual errors. With landed costs you distribute import duties, transport and insurance fairly across your cost prices, so you can see exactly where the heaviest burdens lie.
We ensure that tariffs, exemptions and all necessary documents are centralized and up-to-date in the system: from HS codes to declarations of origin. Thus, about eighty percent of your processes can be automated. The rest we train in together. That makes compliance reliable and manageable.
3. Trade in the local language and local currency
Working with multiple currencies is daily business for many wholesalers.
SAP Business One imports exchange rates automatically, eliminating the need for manual updating. You simply select the correct currency for each document, while accounting continues to run as usual in the local currency. Differences are updated automatically.
Multilingual documents are also available by default. A French packing slip for a French customer prevents questions and speeds up handling. Less noise, more clarity.
4. Leave shipping to the system
Fast and error-free international shipping starts with integration. We link SAP Business One with carriers or a TMS, allowing you to book shipments directly from the ERP.
Labels, track-and-trace and PODs (proof-of-delivery) are automatically stored in the file and immediately visible to your team. The system can also automatically choose the best shipping option, by price or speed.
5. Build out SAP Business One as your business grows
SAP Business One forms a powerful basis, but as you grow internationally, various smart links can make that basis even more powerful. Think webshop, WMS, scanning, BI, EDI or service apps.
Master data, prices and inventory are managed centrally in SAP Business One. Orders and customer data flow in automatically via direct links. Intercompany processes are easy to automate and reports are produced centrally, with local insight where necessary.
In our experience, companies that make continuous development a habit are more likely to scale up and be ready for opportunities that arise in the marketplace.
Some of our customers apply the following "rule": resolve one bottleneck every three months. That way, your process and your system grows with your business in a controlled way!
6. List key KPIs for insight and direction
An ERP system is only valuable when you use it for targeted steering. SAP Business One offers powerful dashboards and reports that allow you to clearly track performance.
We always start with a compact set of KPIs: turnover rate, delivery reliability, margin per channel and age of accounts receivable.
Configurable alerts help monitor thresholds such as minimum stock, idle shipments or outstanding payments. This keeps you proactive without having to manually check everything daily.
Do you also want to continue to grow internationally without losing focus?
SAP Business One is enormously valuable for companies that soberly opt for overview, automation and steering by numbers.
Import and export companies win on three fronts: efficiency in the warehouse, control of finances and flexibility in your sales channels.
We help customers work one step smarter every month. This is how you build a solid foundation that grows with your ambitions, without compromising on service or sharpness.
